The Events Specialist is responsible for planning and execution of events from conception through to completion to fulfill objectives. The role is very dynamic, incorporating a wide variety of tasks and event types. Working to deadlines, planning and project management will be a common feature of work to ensure events run well. Managing venues, suppliers, partners etc. And on the day of an event, problem-solving and ensuring delivery of a successful event.

 Planning and budgeting for events from the concept creations to delivery.
 Event concept creation, e.g. themes, message, purpose
 Researching to identify opportunities for events.
 Liaising with clients to ascertain their precise event requirements.
 Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets).
 Ensuring event insurance, legal, health and safety obligations are adhered to.
 Coordinating venue management, caterers, stand designers, contractors and equipment hire.
 Organizing events facilities for car parking, traffic control, security, first aid, hospitality and the media.
 Identify speakers or special guests once required.
 Prepare events guest lists, seating arrangements and requirements.
 Planning events layouts and program.
 Coordinating events staffing requirements and briefings.
 Preparing delegate packs and papers
 Liaising with QF communications and ensure following policies and procedures
 Liaising with clients and designers to create a brand for the event and organizing the posters, schedules, brochures, stands and PR material required.
 Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly.
 Overseeing the dismantling and removal of the event and clearing the venue efficiently.
 Post-event evaluation (including data entry and analysis and producing reports for event stakeholders).
 Prepare for and manage all kind of events, i.e exhibitions and fairs; festivals; conferences; social events, library community programs, Qatar national events and days, library day.
 Work with the library technical services for community programs development, themes, preparation, promotion and delivery of those programs
 Prepare and publish public library annual events schedule
 Writing articles/information for media once required
 Creating forms/sign-up sheets and maps for various activities
 Setting, communicating and maintaining timelines and priorities on every project
 Communicating, maintaining and developing client relationships
 Managing supplier relationships
 Managing operational and administrative functions projects are delivered efficiently
 Ensuring excellent customer service quality delivery
 Familiarize, understand and implement QF health, safety, and environment policy, procedures, legal regulations and objectives applicable to areas of responsibility. Ensures coordination with HSE department in implementing, monitoring and reviewing of HSE performance to ensure work under his/her control is performed in a safe, healthy and environmentally sound manner.
